Terms of service

1. Agreement

By signing in, you agree to these terms. If you do not agree, do not use the system. Where these terms and your employment or engagement agreement with Dankas Club differ, that agreement prevails.

2. Who may use the system

The system is for authorised Dankas Club staff and contractors only. An administrator creates each account and decides its role and which parts of the system it can use. It is not available to the public, and you may not let anyone else use your access.

3. Your account and security

• Keep your password private and set up an authenticator app; every sign-in needs a code from it.
• Do not share your account, password or authenticator, or sign in for someone else.
• Sign out on shared computers. Sessions also end automatically after inactivity.
• Tell an administrator straight away if you lose your authenticator device or think someone else has used your account.

4. Acceptable use

Use the system only for Dankas Club's business and in line with the law. You must not:

• look at, copy or export information you do not need for your work;
• enter information you know is false, or use someone's identity, card or details without the authority to do so;
• try to get around access rules, authenticator checks, session limits or the audit log;
• probe, overload, or interfere with the system, or use automated tools against it other than the WhatsApp Sync app we provide;
• upload malicious files, or files you have no right to hold;
• use the mail client to send spam, harassment, or anything unlawful or misleading.

5. Information you enter

You are responsible for the accuracy of what you enter, and for having a proper reason to collect it. Handle customers' and other people's personal information as our privacy policy describes and only for the purpose it was given. Sensitive details such as identity documents and card numbers must only be entered in the fields made for them, never in notes or free text.

6. Connected mailboxes and WhatsApp

• Only connect email accounts and WhatsApp numbers that you are entitled to use, and only for work.
• When you connect an account, you allow the system to copy its messages and send mail on your instructions, as the privacy policy explains. You can disconnect at any time.
• Only make a mailbox a public inbox if it is a shared work address that colleagues should see. Everyone with access to Mail can then read all of it, including past messages and attachments. Do not make a personal mailbox public.
• Your use of Gmail, Outlook, other mail hosts and WhatsApp remains subject to their own terms. We are not responsible for their services, outages or changes.
• Messages are copied on a schedule, so a short delay before new mail appears is normal. Always check the original mailbox for anything urgent.

7. Records and monitoring

Sign-ins, signed-in devices, and changes to records are logged to keep the system secure and accountable. Administrators can see this activity. Connected mailboxes are visible only to their owner unless made a public inbox, and WhatsApp chats a person marks private are visible only to that person, as the privacy policy sets out.

8. Availability and changes

We aim to keep the system running and accurate, but it is provided as it is and as available. It may be unavailable at times for maintenance, upgrades, or problems with our hosting providers. We may add, change or remove features at any time.

9. Ownership

The system, its software and its design belong to Dankas Club or its licensors. Business records entered in it belong to Dankas Club. Your own connected mailboxes and chats remain yours; we hold copies only to provide the features you use.

10. Suspension and ending access

An administrator may suspend or close an account at any time, including when someone leaves, no longer needs access, or breaks these terms. Closing an account ends its sessions immediately. Business records you created stay in the system.

11. Liability

Nothing in these terms excludes rights you have under the Australian Consumer Law or other laws that cannot be excluded. Otherwise, and to the extent the law allows, Dankas Club is not liable for indirect or consequential loss arising from use of the system, from delays in syncing messages, or from the services of third parties you connect.

12. Governing law

These terms are governed by the laws of Victoria, Australia, and the courts of that state have jurisdiction over any dispute about them.

13. Changes to these terms

We may update these terms. The date at the top shows when they last changed. Continuing to use the system after a change means you accept the updated terms.
